Speak Up if You Have a Concern

Bauer Media Outdoor is part of Bauer Media Group. We expect our people to uphold the standards set by Bauer Media Group’s People Code of Conduct (our “People Code”), which tells our leaders, employees, freelancers, customers, partners and suppliers how we at Bauer Media Outdoor conduct business, the behaviours we encourage, and the standards we set for ourselves and the people we work with.

Bauer Media Group’s global reporting service, SpeakUp, is available to everyone who works with us – both inside and outside Bauer Media Outdoor – including external partners, suppliers and other stakeholders. This service is specifically designed to support the reporting of serious concerns, from suspected or actual breaches of law and regulation, to possible violations of company policies or ethical standards, including our People Code. This applies whether the issue occurs within Bauer or in our wider supply chain.

We encourage you to raise any honestly-held concerns or suspicions about potential or actual violations of applicable laws, company policies, our People Code of Conduct, our Supplier Code of Conduct, or any other serious misconduct relating to – or carried out by – Bauer Media Outdoor or any part of Bauer Media Group.

You will not suffer any adverse consequences for reporting a concern in good faith. You’ll find further details on how to raise a concern in the information below.

Using Bauer Media’s SpeakUp Reporting Service

Bauer Media’s SpeakUp Reporting Service is operated by an independent service provider - People Intouch BV - and is available 24 hours a day, seven days a week. You can access the system at any time and use it in your native language. The service is governed by our SpeakUp Policy. Please also refer to our privacy notice.

We hope you feel able to raise your concern openly. However, if you prefer, you can report your concerns anonymously.

Please note: while Bauer Media Outdoor and Bauer Media Group aim to thoroughly review and investigate all reports, it may be more difficult to follow up on concerns submitted anonymously. If you do choose to report anonymously, we strongly encourage you to provide as much detail as possible to enable us to respond effectively. In some cases, it may not be possible to fully investigate or conclude an issue with limited information.

Our Investigation Process

Your report will be assessed in the first instance by Bauer Media Outdoor’s Compliance and Legal teams, who may involve internal and external experts if necessary. If your concern involves a member of either team, we have specific processes in place to ensure the matter is handled instead by Group Compliance.

The timeframes for investigating reports raised via the SpeakUp Reporting Service are likely to vary depending on the nature and complexity of the issues raised. We need to keep our investigation approach flexible to maintain the integrity of the service, however, we aim to operate within the following guidelines:

  • to acknowledge receipt within seven days;
  • to ensure that the individual raising concerns is provided with regular updates throughout the investigation (at least one, more where possible); and
  • to aim to conclude investigations, where practicable, within three months.

If we require more information from you, we will follow up through our SpeakUp platform. You may also be invited to a confidential meeting to discuss your concerns if you are comfortable doing so.

Please keep a note of your SpeakUp case number and password so you can keep receiving information about your report – this is especially important if you choose to remain anonymous.

The Bauer Media Outdoor Executive Committee and Bauer Media Group’s Executive Board are fully committed to the principles of our SpeakUp Policy.

Bauer Media Outdoor will take all necessary steps to ensure that you are not subject to unfair treatment, retaliation or victimisation as a result of reporting your honestly-held concerns.

If you choose to report via SpeakUp, we will take all practical measures to protect your identity. We will not disclose your name without your consent, unless required to by law – and we will prohibit attempts by others to identify you.

If you experience or witness any form of retaliation – such as unfair treatment, victimisation of exclusion – please report this via the SpeakUp reporting service or contact Bauer Media Outdoor Compliance via compliance@bauermediaoutdoor.com.
